“The Art of Following Up — Without Being Annoying”

You’ve applied for the job. Maybe you’ve even had the interview. And now you’re waiting — refreshing your inbox, wondering if silence means “no” or just “not yet.”
Knowing when and how to follow up can make all the difference between showing interest and coming across as pushy. Here’s how to strike the right balance.

Timing is everything

First, give it a little breathing room. Employers often juggle multiple roles and interview rounds.

  • After submitting an application: wait around one week before checking in.

  • After an interview: two to five business days is reasonable - If they gave you a timeframe (“we’ll be in touch next week”), wait until that’s passed before reaching out.

Patience signals professionalism -and it helps your follow-up feel polite rather than impatient.

Keep it short and polite

A follow-up doesn’t need to be long or fancy. A few friendly lines are enough to remind them who you are and show genuine interest. Something like:

“Hi [Contact Person], I just wanted to thank you again for the opportunity to apply/interview for the [role title]. I really enjoyed learning more about [company or team], and I’m still very interested in contributing to your organisation. Please let me know if you need anything further from me.”

That’s it! Simple, warm, and professional.

If you’re following up after an interview, you can add a short personal touch — something specific you enjoyed discussing or learning about. It shows attentiveness without oversharing.

HINT - Don’t overdo it!

One follow-up is usually enough. If you don’t hear back after a week or two, it’s okay to move on — or, if it’s a role you’re particularly keen on, send one last short note checking in. Beyond that, you risk crossing from “keen” into “persistent.”

If you later see the job re-advertised, you can always reapply or reach out again with a fresh message.

The takeaway

Following up isn’t about nagging — it’s about staying visible and respectful. A polite message at the right time shows initiative, confidence, and courtesy — all qualities employers value.
